Add shapes and text comments

Draw attention to an area and leave a text comment beside it.

Before you start: Open your PDF and continue through Arrange to Customise. Choose Markup.
Silent video · 23 seconds. Follow the numbered steps below. Use fullscreen for a closer view.
  1. Draw a shape

Choose a shape such as Rectangle in Markup. Drag around the area you want to call out.

  2. Set its appearance

Select the shape to adjust the border colour, thickness and opacity. Move or resize it until it frames the right content.

  3. Add a text comment

Under Comments, choose Text. Place a comment on the page and enter your wording. Adjust the text colour, font size and position.

  4. Place review marks

In Markup, find Marks beneath Shapes. Choose Check (green), Cross (red) or Question (blue), then click the PDF page. Keep clicking to place more of the same mark; the tool stays active in Tools.

Press Escape, choose another tool or leave Markup to stop placement. Select a placed mark to open Properties, where you can change its colour, thickness, opacity or lock state, duplicate it or remove it. Marks can be moved, resized and undone or redone like pen drawings. The placed Question mark is a plain question mark without a circle.

  5. Review and export

Check that comments and review marks do not cover content people need to read. Continue to review, export a PDF and inspect the saved result.

Tip: A text comment adds an annotation. To correct the original wording, follow the Edit text guide.

Common questions

Can I remove a shape or comment?

Select the annotation and choose Remove. Review the page again before exporting.

Will a filled rectangle securely hide information?

Use the Redact workflow to permanently remove content. An annotation placed over text does not provide the same result.
